Choose the destination for each piece based on condition, available time and the work required to move it. “Donate” is not a plan until an organization confirms that it accepts the item and can take it before your deadline.

Describe condition honestly

Photograph the front, back, top, upholstery, drawers and any damage. Check that moving parts work and that all pieces are present. Measure the overall dimensions and the route out. A donor or buyer needs to know about stains, odors, pet damage, peeling finishes, missing hardware, broken frames and pest history before agreeing to take the item.

Do not present an item with suspected bed bugs as a donation. Texas DSHS says bed bugs can travel in furniture and advises involving a licensed pest-control operator when an infestation is suspected. Tell the removal provider before anyone moves the piece through a shared building.

Set a cutoff that protects the move-out date

Work backward from the final walkthrough. If a buyer or donation pickup has not been confirmed by the cutoff, use the fallback. A common mistake is promising a piece to someone who cannot pick it up until after keys are due.

Simple deadline plan

  • Seven or more days out: list sale items and contact donation programs.
  • Three to five days out: confirm pickup appointments in writing.
  • Two days out: cancel uncertain holds and activate the removal fallback.
  • One day out: keep shared hallways and loading areas clear.

Acceptance rules change. Habitat for Humanity Northwest Harris County, for example, asks donors to call before visiting and says photos help staff evaluate donations. That is a useful model even if you choose another organization: ask first, send current photos and get a clear yes.

Prepare the piece and the apartment

Empty drawers and cabinets. Remove personal papers. Bag loose hardware and tape it to the correct piece without damaging the finish. Note whether legs, shelves or doors can be removed. Do not place furniture in the hallway, stairwell or loading zone before the agreed time.

If removal is the fallback, send the same honest photos and dimensions to the crew. Include the floor, stairs or elevator, hallway turns and parking distance. That information is more useful than calling the piece “small” or “standard.”
